Pilot Program Terms & Conditions

1. Purpose

The Pilot allows selected event and marketing agencies ("Participants") to experience Chatflow Studio's AI-agent automation service before entering a paid plan.

The goal is to measure the impact on response time, lead qualification, workload reduction, and operational cost savings achieved through automation.

2. Duration

The Pilot runs for up to 60 days from the date of activation ("Pilot Period").

Extensions may be granted in writing by mutual agreement.

3. Fees

No setup or subscription fee applies during the Pilot Period.

If, after the Pilot, the Participant chooses to continue, standard pricing will apply as communicated in writing before continuation.

There are no automatic charges; continuation requires explicit confirmation from the Participant.

4. Scope of Service

  • Setup of one AI agent connected to up to three channels (e.g., WhatsApp, Instagram, Messenger, or website chat).
  • Basic CRM integration with supported platforms (e.g., HubSpot, Notion, Salesforce).
  • Up to an agreed monthly limit of conversations/messages (defined before launch).
  • Technical support and analytics access during the Pilot.

5. Performance Evaluation

Pilot objectives ("Agreed Goals")—such as first-response time, qualified-inquiry rate, cost savings, or number of handled conversations—will be documented before launch.

Chatflow Studio will share performance reports at the end of the Pilot.

Participants decide whether to continue based on these results.

6. Data & Privacy

  • All customer and conversation data remains the Participant's property.
  • Data is processed securely and in line with GDPR principles.
  • Data is encrypted in transit (TLS) and at rest (AES-256).
  • A Data Processing Addendum (DPA) is available upon request.
  • A mutual Non-Disclosure Agreement (NDA) will be signed prior to the start of the Pilot to ensure that all client and customer information remains strictly confidential and protected.

7. Intellectual Property

All software, models, and automation logic remain the intellectual property of Chatflow Studio. Participants receive temporary usage rights for the Pilot Period only.

8. Publicity & Testimonials

Participation may be referenced as a "Design Partner Program" case study only with the Participant's written consent.

Disclaimer

This Pilot Offer is intended for informational purposes only and does not constitute a binding legal agreement or commercial offer.

An official and legally binding agreement will be executed separately between Chatflow Studio and the Participant prior to commencing the Pilot.

Submitting your details through the contact form does not create any obligation for either party—it simply opens a discussion.

Chatflow Studio is not obligated to provide the service until both sides have reviewed all terms and signed an official agreement confirming participation.

During the Pilot, no setup fees apply, and continuation or payment occurs only if both parties agree to proceed after the evaluation.
